Society for the Advancement of Chicanos/Hispanics and Native Americans in STEM (SACNAS) is an inclusive organization dedicated to fostering the success of Chicanos/Hispanics and Native Americans, from college students to professionals, in attaining advanced degrees, careers, and positions of leadership in STEM. Our vision is to achieve true diversity in STEM, whereby the STEM enterprise proportionally reflects the demographics of the nation. SACNAS serves 6,500 active members and 133 student and professional chapters and reaches a larger community of supporters of 25,000. Our 2021-2026 strategic plan lays out ambitious plans for growth, envisioning a doubling of members, chapters, and resources.

Job Title: Coordinator, Data & Community

Classification: Exempt, Full-Time

POSITION SUMMARY

The Coordinator, Data & Community is the organization’s source of truth when it comes to the SACNAS membership. The coordinator will be responsible for understanding the composition and needs of the membership, through both quantitative and qualitative methods. Furthermore, the coordinator will engage with members regularly to both serve as a resource for individual members and to foster community amongst the membership as a whole.

The coordinator is responsible for maintaining the organization’s member database, as well as sourcing member data, using multiple data streams and reporting tools, including but not limited to member demographics, activity, satisfaction, and needs. An important role within the Programs & Services department, the coordinator is expected to work collaboratively with the team to deliver data sourced from the membership to relevant stakeholders in order to inform and improve SACNAS programs and Services.

Under the direction of the Associate Director, the coordinator will also maintain an open stream of communication with the membership both digitally and “in person”. The position is responsible for monitoring and engaging with the membership via multiple platforms, to support members at all levels to make the most of their member experience.

The desired candidate is energized by both spreadsheets and customer service. The ideal candidate is data driven, organized, collaborative, solution-oriented, and skilled at communicating in a professional setting.

THE JOB

Maintaining member database. In collaboration with the Associate Director, develop and execute strategy to maintain data health. This includes:

  • Communicating with members to update their records within the Association Management Software
  • Tracking and monitoring incomplete data sets
  • Working in collaboration with the Marketing & Communications Department to notify members of incomplete member profiles and/or lapsed memberships
  • Importing and exporting relevant member data with attention to detail
  • Work with Associate Director to provide reports to all Department heads, the Executive Director, and Board of Directors

Building tools for member listening and learning. Build and manage various listening methods to understand member satisfaction and feedback. This includes:

  • Building surveys and tracking results/responses
  • Identifying key stakeholders for deeper understanding
  • Coordinating member focus groups and interviews

Engaging with members. Communicating with members on a daily basis to answer questions, offer solutions, and drive engagement. This includes:

  • Developing an engagement strategy for members to utilize the online community more effectively
  • Participating actively in the current online community
  • Monitoring member communication channels and responding to questions via the online community, email, and/or telephone
  • Coordinating and participating in informational calls between potential members and Associate Director

Competence with the technology platforms and tools of the trade:

  • Association Management System (AMS) or similar CRM
  • Survey Tools such as SurveyMonkey, Qualtrics, or other similar platform Microsoft Excel

MINIMUM EDUCATION AND EXPERIENCE

  • Bachelor’s degree
  • Minimum of 3 years’ experience in data entry, community management, or related area
  • Or a combination of experience equivalent to a bachelor's degree + 3 years of experience.

CRITICAL SKILLS, QUALITIES, AND ABILITIES

  • The items listed below are representative of the knowledge, skills, and abilities required:
  • Strong ability and passion to connect and engage with minority college age students and understand needs especially aimed at first-generation college students, specifically with Chicanos/Hispanics/Latino(x), Native American/Indigenous, or other underrepresented minority populations.
  • Familiarity with database software (Account Management System, Customer Relationship Management, or similar)
  • Ability to collect and interpret data and use for refining current and future programs and services. Experience with survey tools preferred (SurveyMonkey, Qualtrics, or similar)
  • Experience facilitating the development and coordination of online programming especially webinars.
  • Customer service experience
  • Well-developed computer and office skills, including proficiency in Microsoft Office suite (Excel, Word, PowerPoint, and Outlook)
  • Exceptional attention to detail and accuracy as it relates to data entry and program implementation
  • Strong skills in problem solving and teamwork
  • An ability to embrace and incorporate direct feedback
  • Excellent professional communication skills, particularly written communication skills
  • Ability to succeed and enjoy working in a fast‐paced, highly dynamic environment with a proven skill set utilizing sound judgment, creativity, and effective time management solutions
  • Ability to adapt well to a continuously changing set of tasks, projects, and responsibilities.
  • Ability to maintain confidentiality around sensitive and complex relationships and projects
  • Ability to work some evenings and weekends; and to travel to offsite events, including the week-long National Diversity in STEM conference in October.
  • Knowledgeable about STEM disciplines, careers and pathways.
  • Bilingual in Spanish preferred
